To keep the correct terminology, fields, and labels appearing across your district's Ellevation platform and on generated reports and family letters, use the Account Settings page to review and customize your configuration. As an Administrator, you can update key terminology, custom fields, designations, tests, and more.
ℹ️ Note
Typically, these Account Settings were set up in partnership with your district's Ellevation Success Manager when you first started using Ellevation. Most settings will not, or should not, need to be updated over time, with one exception: in the General tab, you do need to ensure your school year dates are current for each new year (read more below).

General
To view and update general settings, including School Year Start and End Date and Student ID Settings:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- You will be brought to the General tab.
- Update general platform configurations and click Save at the bottom of the page.
LEA Code and NCES ID Number
- The Local Education Agency (LEA) Code identifies a school district.
- The National Center for Education Statistics (NCES) ID Number is used for data collection and analysis by the federal government.
School Year Start and End and 2nd Semester Start Dates
⚠️ Warning
It is critical to update these dates for each new school year. They determine what information is included in Reports and family letters by default, as well as the default year and semester when assigning instructional supports.
Jump to History
- If checked, any time users manually change a student's EL Status on the Student Profile, they will be prompted to document why those changes were made in a Note.
EL Status
- If checked, Testing Accommodations, Classroom Accommodations, and Services entry areas are hidden on students' Profiles when their EL Status in Ellevation is blank.
- This setting ensures that services and supports are assigned to students only once they are identified as English learners.
Student ID Settings
- You can choose whether to display the Test ID number or the Student number on legacy reports and lists in Ellevation.
- You can also require that your team add a particular ID number when adding students manually to Ellevation.
Click Save at the bottom of the page to save any changes.
Designations
To view and update ELP Designations, EL/LEP Statuses, and Years in US Schools:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Designations tab.
- Update naming configurations and click Save at the bottom of the page.
ELP Designations and EL/LEP Statuses
- Designations and Statuses are configured when your district starts to use Ellevation, and they can be updated as needed at any time to address a change in how you track or classify students.
- If you would like to add to or make changes to your ELP Designation or EL/LEP Status terms, reach out to the Help Desk for support. You cannot make changes to these terms yourself.
- ELP Designations and EL Statuses are hard-coded for districts in North Carolina and cannot be changed.
- You can have two ELP Designation values, which broadly characterize students as EL/LEP or non-EL/LEP in Ellevation.
- You can have up to six EL/LEP Statuses, which more specifically classify the types of ELs and non-ELs in Ellevation.
- You have a single overarching status for all students who are Monitored, and then more granular Monitoring Statuses for each year of Monitoring. This can be configured from the Configure Monitoring Status page.
Years in US Schools
- You can have up to nine Years in US Schools values, which indicate the range or number of years students have been enrolled in US schools.
- If you would like to add to or make changes to your Years in US Schools values, reach out to the Help Desk for support. You cannot make changes to these terms yourself.
Labels
You can customize the labels for certain Fields and terms in Ellevation. If you do not add custom labels, the default for each Field will be used.
To customize labels for School, Accommodations, Modifications, LEP, and Date Terms:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Labels tab.
- Update naming configurations and click Save at the bottom of the page.
School Terms
- You can customize the Default Label for students' school assignment Field. If the label is left blank, the Field will be called "School."
- You can add an additional school Field to students' Profiles by adding a Second Label. This could track students' alternate school, previous school, or future school.
- If you do not add a label for this Field, it will not appear on students' Profiles.
- If you include the additional school Field, you may want to customize the Default Label so users can distinguish between the two Fields.
- If you would like this Field to update automatically based on your Student Information System in your nightly automated upload, reach out to the Help Desk for assistance.
Accommodations and Modifications Terms
- You can customize the labels for Accommodations and Modifications in Ellevation.
- "Accommodations" are supports used during state testing, and "Modifications" are supports used during classroom instruction.
- If the labels are left blank, the default term will be used.
- If the Tab abbreviation labels are left blank, the tab names will populate with the default term, or the custom label if one has been added.
LEP Term
- You can customize the term used to describe the English learner students, language program, and teachers in your district. Many Ellevation partners choose to use the term EL.
- If the label is left blank, the default term of LEP will be used.
Date Terms
- You can customize the names of specific date fields in Ellevation.
- If the labels are left blank, the default terms will be used.
Click Save at the bottom of the page to save any changes.
Reports
To view and update Report Headers and Footers, Titles, and Signatures:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Reports tab.
- Update student information configurations and click Save at the bottom of the page.
Report Headers and Footers
- You can customize the Report Subtitle, which is displayed in the header of many Reports.
Report Titles
- You can customize the titles of the ELL Student Plan and the Cumulative Folder Report in Ellevation. The custom titles appear in Ellevation and on printed Reports.
- Some Ellevation partners (school districts in Florida in particular) choose to use the Ellevation Cumulative Folder Report as their student plans in lieu of the Ellevation Student Plan. If your district uses this report as a student plan, you may want to rename it accordingly.
Custom Fields
To view and update custom Flags, Dates, Text, and Schedule Fields:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Custom Fields tab.
- Update student information configurations and click Save at the bottom of the page.
Custom Flags, Dates, and Text Fields
- Custom Fields appear on the Demographic tab of the Student Profile.
- Flags are checkbox Fields that appear in the EL Information section of the Demographics tab.
- Dates are date entry Fields that appear in the Dates section of the Demographics tab.
- Text Fields are free text entry areas that appear in the EL Information section of the Demographics tab.
- You can add up to four, or make changes to, custom Flags, Dates, and Text Fields.
- To update a custom Field automatically via your nightly automated update from your SIS, see Sync Data from Your Student Information System with Ellevation.
- Do not make any changes to custom Fields that have In use to the right of them. This change will impact historical student data.
- There is a 40-character limit for Custom Field names and an 80-character limit for any corresponding Custom Field inputs in the Student Profile Demographics tab. There are no restrictions on what types of characters can be entered; however, certain pictographs such as emoji may not display correctly in generated documents.
- You can include Flags, Dates, and Text Fields along with other key student demographic information on Ellevation's legacy Reports and Listings by clicking the checkboxes to the right of each Field name.
- Custom Fields are included in the expanded demographics section in Ellevation's new Cumulative Folder Report Templates by default, even if they are not checked to appear in reports under Account Settings. Custom Fields are not included by default in any other of Ellevation's new Report or Parent Letter Templates.
Custom Schedule Items
- You can track up to four custom student course schedule Fields in addition to Subject, Teacher, and Code.
- To make changes to the way your student course schedule information is imported or displayed in Ellevation, see Sync Data from Your Student Information System with Ellevation.
- Any changes you make to custom schedule items that have Currently in use to the right of them will impact student data.
Click Save at the bottom of the page to save any changes.
Custom Lists
To view and update custom list Fields:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Custom Lists tab.
- Update student information configurations and click Save at the bottom of the page.
Custom Lists
- Custom Lists are dropdown Fields with defined answer options that appear in the EL Information section of the Demographics tab.
- You can add up to six, and make changes to, custom Lists.
- To add a new custom List, input a Field name next to the first available List Name Field.
- To add options for the List, click Add Item to List.
- To make changes to a List that is currently in use, you can deactivate existing options and add new options. Editing or deleting existing options will impact historical student data. To deactivate an option, click the option name, uncheck the Active checkbox, and click Save.
- To update a custom Field automatically via your nightly automated update from your SIS, see Sync Data from Your Student Information System with Ellevation.
- Custom Lists are included in the expanded demographics section in Ellevation's new Cumulative Folder Report Templates by default, even if they are not checked to appear in reports under Account Settings. Custom Lists are not included in any other of Ellevation's new Report or Parent Letter Templates.
- There is a 24-character limit for Custom List names and a 60-character limit for list item description copy. There are no restrictions on what types of characters can be entered; however, certain pictographs such as emoji may not display correctly in the Student Profile Demographics tab or in generated documents.
- We don't recommend more than 50 items per list due to the navigation limits of list pagination.
Click Save at the bottom of the page to save any changes.
Tests
To view and update ELP Tests, Exit Criteria, and custom ELP Test configurations:
- Click the Admin menu icon in the top right corner of your screen.
- Select Account Settings.
- Navigate to the Tests tab.
- Update ELP Test configurations and click Save at the bottom of the page.
Visible ELP Tests
- The Visible Tests column displays the ELP test types enabled for your district in Ellevation. The tests in that column can be uploaded or manually added for the students in your district. Many Ellevation districts choose to enable only those ELP test types they administer.
- To make an ELP test available, click the test name in the Hidden ELP Tests column to move it to the Visible ELP Tests column.
- To make an ELP test unavailable, click the test name in the Visible ELP Tests column to move it to the Hidden ELP Tests column.
- Click Save at the right to save any changes.
LEP Criteria
- For certain pre-defined ELP tests, you can configure the LEP criteria text displayed on the score entry pages of those tests.
- If you leave this section blank, nothing will be displayed in this area.
- You can add district-specific text to define EL classification and Exit criteria specific to the ELP tests.
Custom ELP Tests
- You can import all main initial (screener) and summative (annual) ELP tests across the WIDA, ELPA 21, TELPAS, ELPAC, and Las Links ELP Frameworks. If there is no standard test type for an ELP test your district administers, you can add up to three Custom ELP Tests. These tests are defined in the Custom Tests area.
- To define a Custom Test:
- Find the first available Custom Test section on the Tests tab under Account Settings.
- Input the name of the Custom Test Type.
- Add up to two score labels. These labels define the types of scores you will report. Typically these are "Scale Score" and "Proficiency Level," but score types may vary by test.
- Add up to six Domains. These domains define the categories for which students receive scores. Typically these include an Overall or Composite category as well as categories for different language domains or skills (such as Speaking, Writing, Literacy).
- Optionally add LEP Criteria for the Custom Test. This section populates the LEP criteria text displayed on the score entry pages of those tests. If you leave it blank, nothing will be displayed; you can add district-specific text to define EL classification and Exit criteria specific to the ELP tests.
- Similar to standard ELP test types enabled in Ellevation, Custom ELP Tests you set up can be automated from your SIS or manually entered on Student Profiles. To learn more, see Import Test Result Data into Ellevation or Manually Add Student ELP Test Results.
ℹ️ Note
Unlike standard ELP test types enabled in Ellevation, Custom ELP Tests do not appear in Student List Filters, Fields, or Charts. You can use the Export Wizard to export multiple years of student ELP test scores, including scores from Custom Tests. To learn more, see Use the Export Wizard.
