This checklist walks you through configuring and updating Reports and Parent Letters in Ellevation, so your district's templates, time periods, and permissions are set up correctly before staff begin generating documents.
Configure Reports and Parent Letters
Complete these foundational settings that apply to both Reports and Parent Letters.
- Update Default Time Periods to set the default time periods for student information in your Reports and Letters. Update Default Time Periods
- Upload a District Logo (as needed) if you want to create district templates that include custom logos. Upload a District Logo
Configure Parent Letters
Complete these settings specific to Parent Letters.
- Configure Multiple Measures of Proficiency (as needed) if your district uses measures in addition to ELP assessment scores (for example, teacher recommendations) to determine student placement in the EL program. Configure Multiple Measures of Proficiency
- Configure Exit Criteria to document what students must achieve to exit the EL program (for example, minimum ELP assessment scores). Configure Exit Criteria
- Configure Exit and Graduation Rates as required by districts that receive Title III funding to notify families of Exit and Graduation rates. Configure Exit and Graduation Rates
- Review the List of Services Offered (as needed) if you need to add a Programs & Services Offered section in your district's custom Parent Letters template(s); review and ensure your list of Services is up to date. Review the List of Services Offered

Configure Reports
Complete this setting specific to Reports.
- Configure Report Titles for the Student Plan and Cumulative Folder Report (as needed) to customize the titles of these Reports if your district's titles differ from the default Ellevation titles. Configure Report Titles
Set Up District Templates for Reports and Parent Letters
Review the default Ellevation templates and create customized versions where your district's needs differ.
- Review the default Ellevation Parent Letter Templates to verify whether they meet district needs. Review Parent Letter Templates
- Create and save customized Parent Letters as District Templates (as needed) if the default Ellevation Parent Letter Templates do not meet your district needs. Create Custom Parent Letter Templates
- Review the default Ellevation Report Templates to verify whether they meet district needs. Review Report Templates
- Create and save customized Reports as District Templates (as needed) if the default Ellevation Report Templates do not meet your district needs. Create Custom Report Templates
- Review the date ranges for the ELP test, standardized test, goals, services, and course grades fields (as needed) if you have included these fields in your District Templates. Review Date Ranges
Review Permissions for Reports and Parent Letters
You may want to adjust the default Permissions that Ellevation has established for Reports and for Parent Letters.

Keep these points in mind when adjusting Permissions:
- If you'd like Specialists and Principals to use only the District Template versions you've set, so that everyone in your district uses the same version for continuity and consistency of information across campuses, consider removing their access to Ellevation Parent Letter templates.
- If Teachers don't need to generate Letters, consider removing their access to all Parent Letter templates so that they only have the option to generate Reports when they access the landing page.
- If Specialists may save custom Report Templates for purposes other than compliance reporting, such as creating a new Report to track a campus-specific instructional initiative, don't remove their permission to save custom Report Templates.
