Configure Student Document Types and Permissions

Add and manage digital Documents on Student Profiles so information about each English learner (EL) is easy to find, view, and organize. As an Ellevation Administrator, you configure your Student Document Storage settings to build and maintain a master list of Document Types with the right permissions for your district.

View Student Document Types

As an Ellevation Administrator, you can create a master list of Document Types that your users select from when they upload Documents to Student Profiles. To view and edit Student Document Types, navigate to the Student Document Management page:

  1. Click the Admin menu icon in the top right corner of your screen.
  2. Select Ellevation Settings.
  3. Select Document Storage.

On the Student Document Management page, you can view a list of your Document Types and information about them:

  • Document Type Name
  • Ellevation Document Type
  • Status

Add New Document Types

To add new Document Types:

  1. Click the Admin menu icon in the top right corner of your screen.
  2. Select Ellevation Settings.
  3. Select Document Storage.
  4. Click +New Document Type.

  1. In the Add Document Type window, select an Ellevation Document Type from the drop-down. Each Document Type you create must be aligned to a standard Ellevation Document Type.

Ellevation Document Types include:

  • Home Language Surveys
  • Parental Permissions
  • Writing Samples
  • Assessment Results
  • ELL Student Plan (name may vary by district)
  • Parental Communications
  • Student Progress Documents
  • Teacher Evaluations
  • Meeting Form
  • Ellevation Standard Report
  • Cumulative Folder Report (name may vary by district)
  • Custom: for any Document Type not included above

⚠️ Warning

Each Ellevation Document Type other than Custom can be used only once when configuring Student Documents in Ellevation.

Then finish creating the Document Type:

  1. Enter your Document Type Name.
  2. Enter a Document Description (optional).
  3. Click Add New Document.

Edit Document Details

To edit Document Details:

  1. Click the Admin menu icon in the top right corner of your screen.
  2. Select Ellevation Settings.
  3. Select Document Storage.
  4. Click the arrow to the right of the Document Type you want to edit.
  5. Select Edit Document Details.

  1. In the Edit Document Type window, you can edit the Ellevation Document Type, Document Type Name, and Description (optional).
  2. Click Update to save your changes.

Configure Document Permissions

To manage Document Permissions:

  1. Click the Admin menu icon in the top right corner of your screen.
  2. Select Ellevation Settings.
  3. Select Document Storage.
  4. Click the arrow to the right of each Document Type.
  5. Select View/Edit Permissions.

  1. In the Edit Document Permissions window, toggle the Document feature switch On or Off.
    • Users cannot view or access Documents set to Off (inactive). You can still edit permissions for inactive Document Types.
  2. For each Account Type, use the checkboxes to edit permissions:
    • View: permission to view this Document Type
    • Add/Edit: permission to add or edit this Document Type
    • Delete: permission to delete this Document Type
  3. Click Update to save permissions.
