Upload and Manage Student Documents

Ellevation lets you upload and store digital documents directly on student profiles, so all key records for your ELs are accessible in one secure location. All uploads are encrypted and stored in a FERPA-compliant cloud environment. Ellevation logs metadata for each document, including who uploaded it and when it was last modified.

ā„¹ļø Note

Document Storage is not available in all school districts. If you do not see the Documents tab on the Student Profile, your district may not have access. Contact your Ellevation Administrator for more information. To configure Student Documents as an Ellevation Administrator, see Configure Student Documents.

View and Download Student Documents

Student Documents are displayed on the Documents tab of the Student Profile. You can reach a student's Documents tab two ways.

Search for the Student

  1. Use the search bar at the top right of your screen to search for the student by name or ID number.
  2. Click the student's name to open their profile in the current tab, or click the Open icon to the right to open it in a new tab.
  3. Click the Documents tab.

Locate the Student in the Student List

  1. Apply Filters on the left to narrow your list and locate the student.
  2. Hover over the student's name.
  3. Click the arrow to the right of the Student button that appears.
  4. Select Documents to open the student's Documents tab in a new tab.

By default, Documents are sorted by date and all historical Documents are displayed. To narrow the view:

  • Use the dropdown menu at the top right of the tab to filter by Document Type.
  • Click the Download icon to the right of any document record to download it.

Filter for Students Based on Student Documents

To identify students who do or do not have certain Documents uploaded, apply Document filters in the Student List.

  1. Click Students on the navigation bar.
  2. Select Student List.
  3. Search for "Document" in the Filter options and select Student Document.
  4. Add one or more Document filters to identify students who have or do not have a specific Document Type.
  5. Refine by Upload Date as needed.
  6. Click Done.

Upload Student Documents

Users with edit access to Documents can upload files directly to a student's profile. The list of available Document Types is configured by your Ellevation Administrator. If you need to upload a Document Type that does not appear in the list, contact your Ellevation Administrator for assistance. To customize the list as an Ellevation Administrator, see Configure Student Documents.

  1. Navigate to the student's Documents tab.
    • Search for the student using the search bar:
      1. Use the search bar at the top right of your screen to search by name or ID number.
      2. Click the student's name to open their profile in the current tab, or click the Open icon to open it in a new tab.
      3. Click the Documents tab.
    • Or locate the student in the Student List:
      1. Apply Filters on the left to narrow your list and find the student.
      2. Hover over the student's name.
      3. Click the arrow to the right of the Student button that appears.
      4. Select Documents to open the student's Documents tab in a new tab.
  2. Click the blue Upload button in the upper right of the Documents tab.
  3. Click Choose File and select a file from your computer.
  4. Fill in the Document details:
    • Select a Document Type.
    • Add a Document Name.
    • Add an optional Description.
  5. Click Upload.

Edit or Delete Student Documents

Users with edit access to Student Documents can edit or delete Documents on the Student Profile. Ellevation Administrators can also manage Document permissions by Account Type in Document Storage settings. To learn more, see Configure Document Permissions.

āš ļø Warning

Deleting a Document is permanent and cannot be undone. Confirm you have selected the correct Document record before clicking Delete in the confirmation popup.

  1. Navigate to the student's Documents tab.
    • Search for the student using the search bar:
      1. Use the search bar at the top right of your screen to search by name or ID number.
      2. Click the student's name to open their profile in the current tab, or click the Open icon to open it in a new tab.
      3. Click the Documents tab.
    • Or locate the student in the Student List:
      1. Apply Filters on the left to narrow your list and find the student.
      2. Hover over the student's name.
      3. Click the arrow to the right of the Student button that appears.
      4. Select Documents to open the student's Documents tab in a new tab.
  2. Click the Settings menu icon to the right of the Document you want to edit or delete.
  3. Edit or delete the Document:
    • To edit:
      1. Select Edit Details.
      2. Make any necessary changes.
      3. Click Save.
    • To delete:
      1. Select Delete.
      2. Click Delete in the confirmation popup.
