Filters let you narrow down the students who appear on your Student List based on specific criteria, so you can focus on exactly the subset of students you need. Once you have narrowed your list, you may want to take batch actions to make changes, initiate processes, or generate reports.
This article covers how to:
- Add Filters
- Add Additional Filter Sets
- Filter for Inactive Students
- Review Which Filters You Have Applied
- Edit a Filter
- Remove a Filter
- Save Filter Configurations
- Export or Print Your Student List
Add Filters
To narrow down the list of students that appear on your Student List, use the Filters at left.
- Find the Filter you would like to apply by expanding All filter options and scrolling, or by searching.
- Click the Filter name.
- Different options appear depending on the type of Filter you choose.
- For simple flags, choose Yes or No.
- For more complex Filters, choose the option that best suits your needs and select or input the appropriate value(s).
- Some Filters can be further refined to consider only values from a particular time period or assessment, for example.
- Click Done.
You can add more Filters to your Filter set to continue narrowing your list of students. Once you have added one Filter, click AND to add additional Filters. Students must meet the requirements of all Filters in a Filter set to be included on your Student List.
Once you have added Filters, you may want to:
- Save your Student List configuration as a View to track students who meet your Filter criteria throughout the year.
- Save some or all students who meet your Filter criteria to a Group to track specific students throughout the year.
For example, to narrow down your Student List to show only Newcomer students, you might apply these Filters:
A default set of Fields is populated for the students who meet your Filter criteria. To change what information you see, you can adjust your displayed Fields. See Adjust Displayed Fields in the Student List to learn more.
Most data and information in Ellevation can be filtered for in the Student List. The list of Filters at the left of the Student List is comprehensive. If a data point is not included in that list, it cannot be added as a Filter in the Student List.
Add Additional Filter Sets
You can add additional sets of Filters to show students who meet at least one of two or more sets of criteria on your Student List at once. Once you have added one Filter set, click OR to add an additional Filter set.
The Student List includes any students who meet the criteria for one of the Filter sets. As a result, you may need to replicate one or more Filters in each set if students must meet that criteria as a baseline.
For example, to narrow down your Student List to show only Long Term ELLs who qualify for reading intervention, you might apply these Filter sets:
These Filters would ensure that two groups of students appear in the Student List:
- ELLs who entered the district more than 4 years ago and have a low Reading Proficiency Level.
- ELLs who entered the district more than 4 years ago and have a low Reading Standardized Test score.
If you did not replicate the ELL Status and Entered ELL Filters in the second Filter set, you would see all students with a low Reading Standardized Test score, not just Long Term ELLs with a low Reading Standardized Test score.
Filter for Inactive Students
The Student List always has the Active Filter applied by default. Active students are currently enrolled in your school district and meet the criteria your district set to be included in Ellevation.
Inactive students were active at one point but have since been deactivated, either because they unenrolled from your district (for example, they moved to another district or graduated) or because they no longer meet the criteria your district set to be included in Ellevation (for example, students who have fully exited the ELL program and completed monitoring would be marked inactive if your district doesn't include fully exited students in Ellevation).
You may want to include inactive students in your Student List to see historical data or information about them.
To include inactive students in your Student List:
- Click Filters at the top of the Student List.
- Click the Lock icon to the right of the Active Filter.
- The Active Filter options appear.
- To show only inactive students, select No.
- To show both active and inactive students, click Clear.
- Click Filters at the top of the Student List again to close.
Review Which Filters You Have Applied
To review which Filters you have applied:
- Look at the list of applied Filters at the left of the Student List.
- Or click Filters at the top of the Student List.
Filters with AND between them belong to one Filter set. Students must meet the requirements of all Filters in a Filter set to be included on your Student List.
Filter sets have OR between them. Students must meet the requirements of all Filters in at least one Filter set to be included on your Student List.
Edit a Filter
To edit a Filter:
- Find the Filter you would like to edit in your list of applied Filters at left.
- Click the Filter.
- The Filter options expand again.
- Change the Filter options if needed to suit your needs.
- Add to or change the Filter value(s) if needed.
- Add, remove, or change the Filter refinement(s) if needed.
- Click Done.
To replace a Filter you have applied with a different one, remove the current Filter and add a new Filter.
Remove a Filter
To remove a Filter, find the Filter you would like to remove in your list of applied Filters at left and click the Remove icon to the right of the Filter.
You can also remove a Filter by clicking Filters at the top of your Student List and clicking the Remove icon to the right of the Filter you would like to remove.
To remove all Filters, click the Remove icon to the right of the Filters button at the top of your Student List.
Save Filter Configurations
You can save Filter configurations as a saved View by clicking Save As and selecting New Student List View at the top of your Student List, and share it with others by clicking Share at the top right of your Student List. To learn more, see Manage Student List Views.
Ellevation Administrators can configure default Filters that appear without expanding to all Filter options on the Student List for everyone in their school district. To learn more, see Configure Student List Defaults.
Export or Print Your Student List
Once you have added Filters to your Student List, you may want to export that list of students to manipulate or share. To export your list as a spreadsheet, click Reports at the top of the Student List and select Export to CSV.
The CSV file you export includes only the students who meet the Filter criteria you set.
To customize what information appears for those students and in what order, first adjust Fields.
