Take Batch Actions in the Student List (Edit, Groups, Reports)

🔐 Account type(s) with default permissions to manage this: All account types can generate exports. Permission to take all other batch actions varies by account type.

💻 Tier(s) this is available for: Most actions available with all Ellevation tiers. Benchmark assessments and Student Goals available with Essential and Pro.

The actions you can take from the Student List let you make changes, initiate processes, and generate reports for the students you select.

ℹ️ Note

Classroom Teachers can take only some batch actions.

You can take these actions in the Student List:

Select Students

To take batch actions in the Student List, first select which students.

  • To choose students one by one, click the checkbox to the left of students' names in the Student List.
  • To choose students who have certain criteria in common: apply Filters, click the checkbox at the top left of the Student List to the left of the Student Field header, then, if your list continues onto multiple pages, click Select all students that meet this search across pages.

Add to Group

Filters update dynamically, so you always see students who currently meet your Filter criteria in the Student List. Groups are static, so once you add students to a Group, they remain in that Group unless you remove them.

To add students to Groups:

  1. Select the students you would like to add to the Group.
  2. Click Groups at the top of the Student List.
    • To add students to an existing Group, find the Group by scrolling or searching, click the checkbox to the left of the Group, then click Apply.
    • To add students to a new Group, click Create New, name the Group, then click Save.

Once you select students with shared criteria, you can use Edit to:

Replace Student Data with Updated Information

To replace student data with updated information, click Edit, select Edit Student Data, and update one or more Fields for the selected student(s).

  • You may or may not be able to edit certain Fields in batch from the Student List, depending on your permissions.
  • If you update Fields that are refreshed in your automated nightly upload from your Student Information System (SIS), any changes you make could be overwritten by what is in your SIS that night.

Assign Instructional Supports, Services, or Language Programs

To assign instructional supports, services, or language programs, click Edit and select what you would like to assign to the selected students:

  • Assign Test for Teacher Recommendation
    • Select your time period and test name to mark the tests as needing Testing Accommodation recommendations from teachers.
  • Assign Testing Accommodations (also called Designated Supports)
    • Choose a consistent time period for all the Testing Accommodations you assign.
    • You can assign new Testing Accommodations for selected students for one test. You can add to any existing accommodations the students have for that test in the selected time period, or replace assigned accommodations.
    • You can also copy each student's assigned Testing Accommodations from a previous testing period to another testing period.
  • Assign Instructional Supports (also called Classroom Modifications)
    • Select the academic period (for example, by semester or by year).
    • You can add to any existing supports the students have, or replace assigned supports.
  • Assign EL Services
    • Choose a consistent time period for all the EL Services you assign.
    • You can assign a new EL Service for selected students. You can add to any existing services the students have in the selected time period, or replace assigned services.
    • You can also copy each student's assigned EL Services from a previous time period to another time period.
  • Assign Student Goals
    • Choose a consistent time period for all the Goals you assign.
    • Use the Filters at left or search to find the Goal(s) you would like to assign.
    • To expand Goals to see details, click the blue arrow to the left of the Goal.
    • To edit Goals, click the Edit icon to the right of the Goal.
    • To select Goals, click the checkbox to the left of the Goal and set a status from the dropdown. You can also select all Goals that meet your Filter criteria by clicking the checkbox at the top left of the list, to the left of the Status header.
    • You cannot select Goals across different pages. Apply Filters to reduce the number of Goals you see, or increase the number of Goals per page by clicking the dropdown at the bottom right.
  • Assign Language Program
    • Select your language program and start date.

ℹ️ Note

Student Goals and Benchmark are available with the Essential and Pro tiers only. If you don't see these options, check with your Ellevation Admin.

Assign Benchmark Assessments

To assign Benchmark Assessments, select the appropriate students from the Student List, click Edit, then select Assign Benchmark Assessments.

From the Assign Benchmark pop-up, confirm the number of students selected from your Student List, select which Domains to assign, review the assignment, then click Assign.

Add Students to a Form Cycle

To add students to a Form Cycle, select the appropriate students from the Student List, click Edit above the Student List, select Add to Cycle, select the correct cycle, then click Submit.

Reports & Parent Letters

Once you select students with shared criteria, you can generate:

  • Reports & Parent Letters:
    • Reports are self-contained PDF documents that include a predefined set of data and information about one student. You can generate new Reports by clicking Reports & Parent Letters NEW, and legacy Reports by clicking Reports.     • Parent Letters include key data about your EL students and your EL program and inform families and guardians of their children's EL status. See Learn about Parent Letters to learn more.
  • Export to CSV: Export to CSV generates your list as a spreadsheet, including any Field customizations you have made. See Export/Print a Custom Spreadsheet of Student Information from the Student List to learn more.
