Fields control what student information you see in the Student List, such as ELL Status or Reading Proficiency Level. Customizing which Fields appear, and how they display, lets you focus your list on exactly the data you need.
A Field is a piece of information about a student in Ellevation, such as the student's ELL Status or Reading Proficiency Level. Fields are displayed in the grid in the center of your Student List, and you can adjust both which Fields display and how they display.
This article covers how to:
- Determine Which Fields Appear
- Determine the Order in Which Fields Appear
- Sort by One or More Fields
- Highlight Specific Data Points
- Save Field Configurations
- Export or Print Your Student List
Determine Which Fields Appear
To adjust which Fields are displayed:
- Click Fields at the top of the Student List.
- Customize the list of Fields.
- To add a Field: click +Add Field, find the Field by scrolling or searching, click the Field name, then click Apply Changes.
- To remove a Field: find the Field, then click the Remove icon to the right of the Field name.
- To remove changes and revert to default Fields, click Reset to defaults in the bottom left corner.
- Click Apply Changes.
You can also remove changes and revert to default Fields by clicking the Remove icon to the right of the Fields button at the top of your Student List.
Fields are populated for all active students in the Student List by default. To narrow down your list of students, you can apply Filters. To learn more, see Filter in the Student List.
Most data and information in Ellevation can be displayed as Fields in the Student List. The list of Fields in the Fields popup is comprehensive. If a data point is not included in that list, it cannot be displayed as a Field in the Student List.
Determine the Order in Which Fields Appear
To change the order in which Fields appear, hover over the Drag icon to the left of one of the Fields at the top of the Student List and drag the Field to reorder the columns.
You can also rearrange Fields in the Fields popup by hovering over the Drag icon to the left of a Field name, dragging to reorder it, and clicking Apply Changes.
The Student Field, which populates with students' names, always appears in the first column of the Student List by default.
Sort by One or More Fields
The Student List is sorted in ascending alphabetical order by students' last name by default.
- To sort your list by a different Field, click the Sort icon to the right of one of the Fields at the top of the Student List. Your list will be sorted in ascending order by that Field.
- To change your sort to descending, click the Sort icon to the right of the Field again.
- To stop sorting by a Field, click the Sort icon to the right of the Field a third time.
You can sort your list by multiple Fields so that students are arranged primarily by one value and secondarily by another. For example, to have students enrolled at the same school appear together and be grouped by grade level within each school, you can apply this sort order.
To sort your list by multiple Fields:
- Click Fields at the top of the Student List.
- Click the Ascending sort button or the Descending sort button to the right of each Field you would like to sort by.
- To change the hierarchy of your sort order, change the order of the Fields. Fields are always sorted primarily by the first sorted Field, secondarily by the second Field, and so on, until they are sorted finally by student last name.
- Click Apply Changes.
To stop sorting by a Field, deselect the Ascending sort button or Descending sort button to the right of it in the Fields popup.
Highlight Specific Data Points
You can set rules to visually highlight certain Field values within your Student List. For example, you may want to highlight students with IEPs or students with a Reading Level less than or equal to 3. You can even highlight select data collected from Form cycles.
To set highlight rules:
- Click Fields at the top of the Student List.
- Customize highlight rules.
- To highlight specific data points: click the Highlight icon (looks like a paintbrush) to the right of the Field, choose the option that represents the rule you want to set, choose the highlight color, then click Save.
- To edit applied highlight rules: click Edit below the rule, choose a new rule and/or new color, then click Save.
- To remove applied highlight rules, click the blue Delete icon to the right of the rule.
- Click Apply Changes.
Save Field Configurations
You can save Field configurations as a saved View by clicking Save As and selecting New Student List View at the top of your Student List, and share it with others by clicking Share at the top right of your Student List. To learn more, see Manage Student List Views.
Ellevation Administrators can configure default Fields that appear on the Student List for everyone in their school district. To learn more, see Configure Student List Defaults.
Export or Print Your Student List
Once you have adjusted the Fields displayed on your Student List, you may want to export that information to manipulate or share. To export your list as a spreadsheet, click Reports at the top of the Student List and select Export to CSV.
The CSV file you export includes the Fields you have customized and respects any sort order you have applied. Cell highlighting cannot be exported.
To include only some students in your export, first apply Filters.
