A View is a saved Student List configuration, a snapshot of the Fields, Filters, and Charts you've set up, that you can return to any time and share with colleagues. Because Views update dynamically, they always reflect current student data each time you open them.
Select a task to jump to that section:

Save a View
To save your current Student List configuration as a View, customize your Fields, Filters, and/or Chart first, then follow these steps:
- Click Save As at the top of the Student List.
- Select New Student List View.
- Name the View.
- Add an optional description.
- Click Save.
Once you save a View, it is available every time you log in to Ellevation. Views update dynamically, so each time you open one, you see the students who currently meet your Filter criteria along with their most up-to-date information.
To start fresh and save a completely new configuration, click Clear All at the top of your Student List. This removes any Filters, Fields, or Charts that are currently applied and clears any open View.

Access Your Views
To open Views you have saved or that have been shared with you, click Views at the top left of the Student List. Your Views are organized in these default tabs:
- All Views
- My Saved Views
- Shared With Me
You can also organize your Views into custom Folders. Folders you have created or that have been shared with you appear below the default tabs. See Organize Your Student List Views in Folders to learn more.
Update a Saved View
Rename or Edit a View's Description
To change the name or description of a View you created:
- Click Views at the top left of your Student List.
- Find the View you would like to update.
- Click the Dropdown menu icon to the right of the View's name.
- Select Edit/Rename.
- Update the name or description.
- Click Save View.
Update a View's Configurations
To update the Fields, Filters, or Chart in a View you created:
- Click Views at the top left of your Student List.
- Find the View you would like to update.
- Click the name of the View to open it.
- Make your desired changes to the Fields, Filters, or Chart.
- Click Save Changes to overwrite the existing View.
- If the View has been shared with others or is linked to one or more Dashboard Tiles, click Save in the confirmation popup to confirm the update.
- To discard your changes, click the Dropdown menu icon to the right of Save Changes and select Discard Changes.
- To keep the original View as-is and save your updates as a new View, click Save As at the top of the Student List, name the new View, add an optional description, and click Save.
⚠️ Warning
Any changes you make to the Filters, Fields, Chart, name, or description of a View will also update any Dashboard Tiles linked to that View. You cannot update a View that you did not create. If you modify a View shared with you, your only option is to save it as a new View using Save As.
Share a Saved View with Others
Sharing a View lets colleagues open the same Field, Filter, and Chart configuration, populated with the student data they have access to based on their permissions. Depending on your permissions, you can share a View with:
- Individual users
- All users in a user group
- All users at one or more schools
- All users at one or more school types
- All users with a particular Account Type
- All users in the district
To share a saved View:
- Click Views at the top left of your Student List.
- Find the View you would like to share.
- Click the Dropdown menu icon to the right of the View's name.
- Select Share.
- Choose your sharing method:
- To share with individuals, groups, or schools:
- Type the name of the person, group, or school in the input box. The text above the input box shows your available sharing permissions.
- Leave Send email notification checked to notify the people you are sharing with, or uncheck it to skip the notification.
- Add an optional note.
- Click Save Changes.
- To share with one or more Account Types:
- Type the name of the Account Type(s) in the input box.
- Click Save Changes.
- To share with your entire school district:
- Click Advanced in the top right corner.
- Click Change... next to the View's current sharing settings.
- Select District.
- Click Save Changes.
- Click Done.
- To share with individuals, groups, or schools:
💡 Quick Tip
If you already have the View open, you can also click Share at the top right of your Student List and proceed from step 5 above. You can also share an entire Folder of Views. See Organize Your Student List Views in Folders to learn more.
You cannot share a View that you did not create.
Unshare a View
To update the sharing settings for a View you created:
- Click Views at the top left of your Student List.
- Find the View you would like to change sharing settings for.
- Click the Dropdown menu icon to the right of the View's name.
- Select Share.
- Update sharing settings:
- To unshare with specific people:
- Click the Remove icon to the right of their name.
- Click Save Changes.
- To unshare with everyone:
- Click Advanced in the top right corner.
- Click Change... next to the View's current sharing settings.
- Select Private.
- Click Save Changes.
- Click Done.
- To unshare with the entire district while keeping access for specific named individuals:
- Click Advanced in the top right corner.
- Click Change... next to the View's current sharing settings.
- Select Specific people can view.
- Click Save Changes.
- Click Done.
- To unshare with specific people:
💡 Quick Tip
If you already have the View open, click Share at the top right of your Student List and proceed from step 5 above.
You cannot change sharing settings for a View that you did not create.
Delete a Saved View
To delete a View that you created:
- Click Views at the top left of your Student List.
- Find the View you would like to delete.
- Click the Dropdown menu icon to the right of the View's name.
- Select Delete.
- Click Delete in the confirmation popup.
⚠️ Warning
Deleted Views cannot be recovered. If you shared the View with others, they will lose access immediately upon deletion. You cannot delete a View that you did not create. If you want to remove a View that was shared with you from your list, archive it instead.
Archive a View Shared with You
Archiving removes a View that was shared with you from your active Views list without deleting it. The View remains accessible through the Manage Views page.
- Click Views at the top left of your Student List.
- Find the View you would like to archive.
- Click the Dropdown menu icon to the right of the View's name.
- Select Archive.
- Click Archive in the confirmation popup.
Access an Archived View
To access a View you previously archived:
- Click Views at the top left of your Student List.
- Click Manage Views at the bottom left.
- Select Archived at the top left of the page.
- Click the name of the View to open and use it.
- To restore the View to your active Views list, click the Dropdown menu icon to the right of the View's name, select Undo Archive, and click Undo Archive in the confirmation popup.
Audit All Student List Views in Your Database
The Manage Views page gives you a complete picture of every Student List View created in your Ellevation database, helpful for keeping your Views organized and identifying ones that may no longer be needed. For each View, you can see the View name, the View owner (who created it), and when it was last edited (Last Changes On).
To open Manage Views:
- Click Views at the top of your Student List.
- Click Manage Views at the bottom left.
From Manage Views, you can also take actions on Views depending on your permissions, including: go to any View in the list, edit a View, rename a View, archive a View, or delete a View.
Take Over a View from a Departed Staff Member
If you need to edit a View whose owner is no longer at your district, you can create your own copy of it:
- From the Manage Views page, find the View you want to edit.
- Select Go to View.
- Make any desired changes to the Fields, Filters, or Chart.
- Click Save As > New Student List View to save a new copy with you as the owner.
💡 Quick Tip
Manage Views is also a great end-of-year housekeeping tool. Use it to identify Views created by staff who have left, Views that haven't been edited in a long time, or Views that may have been duplicated over time.
Export or Print a View
You can export the student list and the chart for any View separately. Exports are not available as a single combined file.
- To export the student list as a spreadsheet, click Reports at the top of the Student List and select Export to CSV. The CSV includes only students who meet your current Filter criteria, with the Fields you have configured and any sort order you have applied.
- To export the chart as an image, click the Download icon at the top right of the chart.
