Create and Manage Student Groups in Ellevation

Student Groups let you keep track of a static set of students you've hand-picked — like a reading group or an afterschool program — so you can quickly find and act on them in Ellevation.

If you'd rather track students based on data or information in Ellevation (like grade levels or ELP scores), apply Filters and create saved Views instead. Saved Views update dynamically based on which students meet the View's Filter criteria. Use a Group when you want to track students based on short-term factors that aren't captured in their Ellevation data.

ℹ️ Note

Groups are static. Once you add students to a Group, they stay there until you remove them — Groups do not update automatically the way Views do. Each Ellevation user creates and manages their own Groups, and Groups cannot be shared with other users.

You can:

Add Students to a New or Existing Group

You can select students from the Student List and add them to an existing Group, or create a new Group and add them to it.

To add students to a new or existing Group:

  1. Navigate to the Student List.
    1. Click Students on the navigation bar.
    2. Select Student List.
  2. Select the students you would like to add to the Group.
    • To narrow the list of students that appears, use the Filters at left.
    • To select all students who meet your Filter criteria, click the checkbox at the top left of the Student List. If your list continues onto multiple pages, click Select all students that meet this search across pages. To select only some students, use the checkboxes at the left of the list.
  3. Click Groups at the top of the Student List.
  4. Add the students to a Group.
    • To add students to an existing Group, click the checkbox to the left of the Group, then click Apply.
    • To add students to a new Group, click Groups at the top of the Student List, then click Create New Group (if you have no Groups yet) or Create New (if you have existing Groups). Enter a Group name and click Save.

You can see which Groups a student belongs to — and edit those assignments — from the header of their Student Profile.

To view or edit a student's Group assignments:

  1. Navigate to the student's Profile.
    • Search for the student by name or ID number using the search bar at the top right of your screen. Click the student's name to open their Profile in the current tab, or click the Open icon to the right to open it in a new tab.
    • You can also locate the student in the Student List. Apply Filters at left to narrow your list, hover over the student's name, and click the Student button to open their Profile in a new tab.
  2. Click the Groups dropdown in the header of the student's Profile, to the left of Select Student Report.
    • If the student is in one Group, the Group name is the dropdown label.
    • If the student is in more than one Group, the number of Groups is the dropdown label.
    • If the student is in no Groups and you have created at least one Group, the dropdown is labeled Add to group.
    • If the student is in no Groups and you have not created any Groups, you will not see the dropdown.
  3. Use the checkboxes to select the Group(s) you would like the student to be in.
  4. Click Apply.

To remove a student from a Group:

  1. Navigate to the student's Profile.
    • Search for the student by name or ID number using the search bar at the top right of your screen. Click the student's name to open their Profile in the current tab, or click the Open icon to the right to open it in a new tab.
    • You can also locate the student in the Student List. Apply Filters at left to narrow your list, hover over the student's name, and click the Student button to open their Profile in a new tab.
  2. Click the Groups dropdown in the header of the student's Profile, to the left of Select Student Report.
  3. Use the checkboxes to deselect the Group(s) you would like the student to be removed from.
  4. Click Apply.

To see a list of all students who are in a Group:

  1. Navigate to the Student List.
    1. Click Students on the navigation bar.
    2. Select Student List.
  2. Search for "Group" in the Find Filters search bar at left.
  3. Select Group.
  4. Check the boxes to the left of a Group name to see a list of students who are in that Group.
  5. Click Done.

To see students grouped visually by the Group(s) they are in:

  1. Navigate to the Student List.
    1. Click Students on the navigation bar.
    2. Select Student List.
  2. Click Chart at the top of the Student List.
  3. Search for "Group" in the Search for chart options search bar.
  4. Select Group.

To edit or delete Student Groups that you have created:

  1. Navigate to the Student List.
    1. Click Students on the navigation bar.
    2. Select Student List.
  2. Click Groups at the top of your Student List.
  3. Click Manage Groups at the top right of the Groups popup.
    • You will not see this option if you have not created any Student Groups.
  4. Edit or delete Groups.
    • To delete a Group, click the trash can to the right of the Group name.
    • To edit a Group name, update the name in the input box.
  5. Click Save.

ℹ️ Note

If you delete a Student Group, any students who were assigned to that Group will no longer be assigned to it. The students themselves are not affected.
