The User Management page lets you view and analyze information about the people in your district who have an Ellevation record. Use it to review user details, troubleshoot access, and export user data to share with other stakeholders.
From the User Management page, you can:
- View your list of Ellevation users
- View and sort User Fields
- Narrow down users on your list with Filters
- View a user's profile
- View As / log in to Ellevation as a user
- Export or print user information

View Your List of Ellevation Users
The User Management page displays a list of Ellevation user information for your district. To get there:
- Go to the Admin menu icon on the navigation bar.
- Click User Management.
- Select Users.
On the User Management page, you can see a list of all staff in your district who have a record in Ellevation. By default, the list is filtered to show only people with Active and Invited Account Statuses.
| Account Status | Meaning |
| Active | The user currently has an active Ellevation account. |
| Inactive | The user's account has never been active in Ellevation, and they have not been invited to Ellevation. |
| Deactivated | The user's account was once active in Ellevation but has since been deactivated, either manually or via the People Wizard. |
| Invited | An invitation has been sent to the user, but they have not yet logged in to Ellevation. |

You can adjust which users appear on your list and how their information is displayed:
- By default, 25 records appear on the first page of your list. To view more records, you can:
- Page through your list with the page numbers or the First, Previous, Next, and Last buttons at the bottom of the screen.
- Set how many records appear per page using the dropdown at the bottom of the screen.
- By default, the list excludes Inactive and Deactivated users. To change who appears, apply Filters. See Narrow Down Users on Your List with Filters below.
- By default, the list is sorted alphabetically by last name. To learn about the information in User Fields and how to sort by Field, see View and Sort User Fields below.
View and Sort User Fields
Your list of users is populated with key information Fields about each staff member who has a record in Ellevation. Some Fields contain information about the user, such as Name. Others contain information about what the user has done in Ellevation, such as Number of Logins. To learn more about Usage Statistics Fields, see View and Analyze Usage Statistics.
By default, your list is sorted alphabetically by last name. To sort by another Field, click the Sort arrows to the right of the column header you want to sort by.
Your list contains the following user Fields with information about each user:
- Name: User names appear in Last name, First name format, along with user email addresses.
- Staff Id: User Staff Ids appear in this column.
- Schools: User school assignments appear in this column.

EL Count: The number of students the staff member is associated with, based on student schedules in Ellevation.
- Students are typically associated only with classroom teachers via their schedules. They may not be officially associated with EL teachers or Specialists, coaches, counselors, or others who work with them.
- Account Type: The user's Account Type, which determines their level of Ellevation access and Permissions. To learn more, see Create and Manage Account Types.

Account Status: Indicates whether the person has an active Ellevation account. Statuses include:
- Active: The user currently has an active Ellevation account.
- Invited: An invitation has been sent, but the user has not yet logged in.
- Deactivated: The account was once active but has since been deactivated, manually or via the People Wizard.
- Inactive: The account has never been active, and the user has not been invited.

Narrow Down Users on Your List with Filters
By default, your list contains all staff in your district who have an Ellevation record with an Account Status of Active or Invited.
To narrow your list to a particular subgroup, use the Filters on the left. Some Filters contain information about the user, such as Account Type. Others contain information about what the user has done in Ellevation, such as Number of Logins.
Once you apply User Filters, your list shows only users whose information in the corresponding User Fields column meets your criteria. For Field definitions, see the list of User Fields above.
To apply a User Filter:
- Click the name of the Filter you want to apply in the list of Filters on the left.
- Select the appropriate option(s).
- Click Done.
- To continue narrowing your list, click AND and repeat the steps above.
- Users must meet the requirements of all Filters joined by AND in a Filter set to appear on your list.
By default, User Filters apply to usage from August 1, 2020 to the current date. To focus on a different time period, use the Usage Statistics Date Filter.
View a User's Profile
To open a user's profile:
- Navigate to the User Management page.
- Go to the Admin menu icon on the navigation bar.
- Click User Management.
- Select Users.
- Locate the user.
- Enter the user's name or email address in the search bar above the list of users on the right.
- If the user doesn't appear, they may not have an Active or Invited account. By default, the page shows only Active and Invited Account Statuses. To include others, click the x within the Account Status filter, or click Include Inactive and Deactivated Users in Search if your search returns no results.
- Enter the user's name or email address in the search bar above the list of users on the right.
- Hover over the user's name and click Profile.

ℹ️ Note
If the user's profile shows a Clever message, Clever SSO has been configured for that user category in your district, and the user can access Ellevation through Clever. To learn more, see Learn about Clever Single Sign-On for Ellevation.
View As / Log in to Ellevation as a User
Users with the appropriate level of access can view Ellevation as another user to see that user's Permissions, access level, and students, or to help troubleshoot issues.
⚠️ Warning
To protect student privacy and maintain FERPA compliance, the ability to view as a different Account Type or user is restricted by your Ellevation Account Type. You cannot see data about students whose information you do not have access to, even when viewing as another Account Type or user.
To view Ellevation as a user:
- Navigate to the User Management page.
- Go to the Admin menu icon on the navigation bar.
- Click User Management.
- Select Users.
- Locate the user.
- Enter the user's name or email address in the search bar above the list of users on the right.
- If the user doesn't appear, they may not have an Active or Invited account. To include others, click the x within the Account Status filter, or click Include Inactive and Deactivated Users in Search.
- Enter the user's name or email address in the search bar above the list of users on the right.
- View as the user.
- Hover over the user's name.
- Click the arrow to the right of the Profile button that appears.
- Select View As User.

Export or Print User Information
You may need to download key user information from Ellevation to work with it or share it with other stakeholders in your district. To do this, generate a custom spreadsheet from the User Management page.
To export a custom spreadsheet of user information:
- Navigate to the User Management page.
- Go to the Admin menu icon on the navigation bar.
- Click User Management.
- Select Users.
- Apply Filters and sort columns as needed.
- Click Export to CSV at the top of the user list.
Your export includes only the people who meet the Filter criteria you have applied.
