Florida Reevaluation with Forms for Admins

To keep your Florida Reevaluation process organized in Ellevation, this guide walks Administrators through the full setup: building your dashboard, configuring the template and permissions, launching a cycle, monitoring progress, and analyzing results.

This article is for the Administrator Account Type. If you are a Specialist, see the companion article for Specialists instead.

This setup is completed in five steps:

  1. Create and/or update the Reevaluation dashboard
  2. Configure the template and Account Type permissions
  3. Create a cycle
  4. Monitor progress
  5. Analyze data

Step 1: Create and/or Update Your Reevaluation Dashboard

The first step is to set up or update your Reevaluation dashboard. Ellevation provides pre-built dashboards based on best practices and aligned with how meetings are conducted in your state.

If you are building one for the first time, read this article to create your Reevaluation dashboard.

To update an existing dashboard so all tiles use the correct dates in their filters, read this document.

Step 2: Configure Your Reevaluation Template and Account Type Permissions

Configure the Reevaluation Template

Ellevation provides pre-built templates based on best practices and aligned with how reevaluation meetings are conducted in Florida.

To find the Reevaluation Meeting templates in Ellevation:

  1. Click the Admin menu icon, then go to Forms Settings > Templates.
  2. Open the Reevaluation template by clicking the template name. If the template looks good, you are done with this step. Make a note of the template name, since you will need it in the next step.
  3. Optionally, you can add, configure, or remove sections in the Forms builder. When your template is ready, click Save.

💡 Quick Tip

Adjust your field refinements in the template each year so you are reviewing data from the current school year in the forms. Click the section you want to edit in the preview panel, make your updates, and click save.

Adjust Permissions (First-Time Implementations Only)

Set the correct permissions by role so users can access, participate in, and conduct reevaluation meetings. Adjust permissions for every Account Type that will manage or support the reevaluation workflows in Ellevation and needs access to some or all Forms features.

  1. Click the Admin menu > User Management > Permissions. Learn more here.
  2. Scroll to Form Assignments and edit permissions so each Account Type has the appropriate access.
  3. As needed, review and adjust other Form permissions (for example, Form Cycles, Form Templates, Contributor Management, and Course Tagging) based on who else in your district will manage or support these workflows in Ellevation.

Step 3: Create a Cycle

The third step is to configure the Reevaluation Meeting cycle. The video below is a helpful high-level overview of cycles, though it does not specifically demonstrate setting up a Reevaluation Meeting cycle.

To create your Reevaluation Meeting cycle:

  1. Select Forms from the main Ellevation navigation.
  2. Click New Cycle in the top right.
  3. Ellevation recommends setting up cycles with the following settings:
    • Create a one-year-long cycle for all Reevaluations.
    • Title your cycle with the specific school year.
    • Select Include Meeting Date so meeting dates are included and tracked.
    • Leave Students and Due Date blank, as they are not needed.
    • Use standard signatures for the most flexibility.
    • Mark the minimum number of contributors as required.

Set Your Cycle from Draft to Live Mode

  1. From your cycle page, click the Draft/Live/Closed button (it will be set to Draft).
  2. From the dropdown, select Live.

Once your cycle is live, the forms are viewable to all educators assigned or permissioned to view them. If you set your cycle live by accident, set it back to Closed mode until you are ready to launch, then set it back to Live. See this article for more information.

Step 4: Monitor Progress

The fourth step is to monitor progress toward completion. As forms are completed, use the clickable status buckets on your cycle page to review which forms are Not Started, In Progress, Done, or Submitted.
