Create and Manage Ellevation User Groups

User Groups let you organize Ellevation users by custom factors that aren't otherwise tracked in the system, so you can quickly find and manage related users from one place. This keeps district-wide user lists easy to navigate and your team aligned.

On your User Management page, you can find and manage Ellevation users based on existing data such as their Account Type, School(s), or EL Count by applying filters.

To track users by custom or non-filterable factors, such as teachers with SIOP certification, you can create a Group and add those users to it. Once a Group exists, use the Group filter on the User Management page to find its members.

โ„น๏ธ Note

User Groups are shared across the district. Anyone with add or edit access to User Management can view and edit Groups, create new Groups, and add users to Groups.

User Groups are static and do not update automatically. Once a user is added to a Group, they stay in that Group until they are removed. Users can belong to multiple Groups at once.

Create a User Group

To create a User Group:

  1. Navigate to the User Management page.
    1. Go to the Admin menu icon on the navigation bar.
    2. Click User Management.
    3. Select Users.

  1. Open Manage Groups.
    1. Click Groups at the top of the list of users.
    2. Click Manage Groups at the top right of the dropdown.

  1. Enter the Group name and click Save.

Add People to and Remove People from User Groups

When you want to track users by a factor that isn't recorded in Ellevation, such as teachers with a particular certification, you can add those users to a Group.

To add users to a Group:

  1. Navigate to the User Management page.
    1. Go to the Admin menu icon on the navigation bar.
    2. Click User Management.
    3. Select Users.

  1. Locate the people you want to add to one or more Groups. By default, your User Management page shows only Active and Invited users.
    • To display people with other Account Statuses, click the Account Status filter and select the Statuses you want. You must first remove the default filter Account Status is any of > Active, Invited to populate your list with all Account Statuses.
    • Use search or the filters at left to locate people.

โš ๏ธ Warning

The default filter limits your list to Active and Invited users. If you don't remove it first, users with other Account Statuses won't appear, and you may add an incomplete set of people to your Group.

  1. Select the people you want to assign to the same Group(s).
    • To select a subset of the people who meet your filter criteria, click the checkbox next to each name.
    • To select everyone who meets your filter criteria, click the checkbox at the top of the list. If your list extends beyond one page, click Select all people that meet this criteria across pages.

  1. Open the Groups dialog.
    1. Click Groups at the top of the user list.

  1. Add the selected users to one or more Groups.
    1. Search or scroll to find the Group(s) you want to add the selected users to.
    2. Click the checkbox to the left of each Group you want to add the users to.
    3. Click Apply.

You can see who is in a Group using the Group filter at left on the User Management page.

๐Ÿ’ก Quick Tip

To remove a user from a Group, navigate to that user's profile and remove the Group there.

Edit or Delete User Groups

To edit or delete a User Group:

  1. Navigate to the User Management page.
    1. Go to the Admin menu icon on the navigation bar.
    2. Click User Management.
    3. Select Users.

  1. Open Manage Groups.
    1. Click Groups at the top of the list of users.
    2. Click Manage Groups at the top right of the dropdown.

  1. Edit or delete the Group.
    • Make your changes.
      1. To edit a Group name, revise the existing name.
      2. To delete a Group, click the trash can to the right of the Group name.
    • Click Save.

โš ๏ธ Warning

Deleting a Group cannot be undone. The Group and its membership associations are removed permanently, though the users themselves are not affected.
