Ellevation's Language Program model lets you track student program participation in custom Language Programs. If you are responsible for manually maintaining Language Program enrollments in Ellevation, this article covers how to assign and update those records.

⚠️ Warning

Most districts have Language Program enrollment automatically updated from their Student Information System (SIS). Check with your Ellevation Administrator before manually assigning Language Programs.

Assign Language Programs for Individual Students

Users with edit access to Language Programs can assign Language Program information on the Student Profile for individual students.

1. Navigate to the student's EL/LEP Services and Programs tab using one of these methods:
   • Search bar:
     1. Search for the student by name or ID number using the search bar at the top right of your screen.
     2. Click the student's name to open their profile in the current tab, or click the Open icon to the right to open it in a new tab.
     3. Click the EL/LEP Services and Programs tab.
   • Student List:
     1. Apply Filters on the left to narrow down your list and quickly find the student.
     2. Hover over the student's name.
     3. Click the arrow to the right of the Student button that appears.
     4. Select EL/LEP Services and Programs to open the student's tab in a new tab.
2. Click + Add Language Program.
   • This button may appear greyed out if the student's school has no available Language Programs to assign.
3. Select the desired Language Program from the dropdown list.
   • The list of Language Programs is configured by your Ellevation Administrator. If the program you need is not on the list, contact your Ellevation Administrator for assistance. To customize the list as an Administrator, see Configure Language Programs.
   • Students can only be enrolled in one Language Program at a time. If you assign a Language Program to a student who already has one, the new program will overwrite the existing assignment.
4. Select the Start Date using the calendar tool.
   • The Program's School Year is configured by your Ellevation Administrator. If the default year is incorrect, contact your Ellevation Administrator. To update the Program Year as an Administrator, see Configure Language Programs.
5. Click Assign Programs.

Batch Assign Language Programs for Multiple Students at Once

Users with edit access to Language Programs can batch assign Language Programs for multiple students at once from the Student List.

1. Navigate to the Student List.
   1. Click Students on the navigation bar.
   2. Select Student List.
2. Apply Filters on the left to narrow your list to the students you want to assign Language Programs for.
   1. Find the filter you want by expanding All filter options and scrolling, or by searching. Click the filter name.
   2. Select the appropriate options. Options vary by filter type:
      • For simple flags, choose Yes or No.
      • For more complex filters, choose the option that best fits your needs and enter the appropriate value(s).
      • Some filters can be further refined by time period or assessment.
   3. Click Done.
3. Select students.
   • To select all students meeting the filter criteria, click the checkbox at the top left of the Student List. If results span multiple pages, click Select all students that meet this search across pages.
   • To select specific students, use the checkboxes at the left of the list.
4. Batch edit.
   1. Click Edit at the top of the list.
   2. Select Assign Language Programs.

5. Select the desired Language Program from the dropdown list.
   • The list of Language Programs is configured by your Ellevation Administrator. If the program you need is not on the list, contact your Ellevation Administrator for assistance. To customize the list as an Administrator, see Configure Language Programs.
   • Students can only be enrolled in one Language Program at a time. If you assign a Language Program to students who already have one, the new program will overwrite their existing assignments.
6. Select the Start Date using the calendar tool.

7. Click Assign Programs.

Change Students' Assigned Language Programs

If your district tracks Language Programs in Ellevation, every student should always have one Language Program assigned. You can change an existing assignment by assigning the student to a different program. Students' Language Program information appears on the EL/LEP Services and Programs tab of the Student Profile (the label of this tab may vary by district).

To change a student's Language Program assignment:

1. Navigate to the student's EL/LEP Services and Programs tab using one of these methods:
   • Search bar:
     1. Search for the student by name or ID number using the search bar at the top right of your screen.
     2. Click the student's name to open their profile in the current tab, or click the Open icon to the right to open it in a new tab.
     3. Click the EL/LEP Services and Programs tab.
   • Student List:
     1. Apply Filters on the left to narrow down your list and quickly find the student.
     2. Hover over the student's name.
     3. Click the arrow to the right of the Student button that appears.
     4. Select EL/LEP Services and Programs to open the student's tab in a new tab.
2. Click + Add Language Program.
3. Select the replacement program from the Language Program dropdown.
   • A warning will appear in the dialog: This student is currently enrolled in Language Programs. Students can only be enrolled in one Language Program. Continuing with this action would unenroll the student from their current program, effective today, and enroll them in the new program.
4. Click Assign Programs.
