Set Up FEL Monitoring in Alabama Using Ellevation Forms

This article walks you through setting up FEL Monitoring in Ellevation Forms using ready-to-go premade form templates. Using Ellevation Forms for both EL and FEL monitoring keeps all your data in one place.

ℹ️ Note

The Alabama State Department of Education (ALSDE) requires Former ELs (FEL) to be monitored regularly: FEL-1 and FEL-2 students every quarter, and FEL-3 and FEL-4 students twice a year, at the end of each semester.

Learn how to:

Create a Saved Student List View to Identify Your FEL Students

Start by creating and saving a Student List View for the FEL students you need to monitor. You'll need this saved View to create your Monitoring Forms cycle.

  1. Select Students from the Ellevation masthead (top navigation).
  2. Select Student List.
  3. Filter for FEL students by typing Monitoring Status in the filter search bar and selecting the appropriate checkbox(es) under is any of.
  4. Save the Student List View by selecting Save As > New Student List View.
  5. Name it something easy to identify, such as "FEL-1 and FEL-2 Students."
  6. Select Save View.

Create an FEL Monitoring Forms Cycle

Create a cycle using the premade FEL Monitoring form template:

  1. Click the Forms tab in the Ellevation masthead (top navigation).
  2. Select the New Cycle button.
    1. Name your cycle in a way that's easy to refer back to, such as "FEL 1 & 2 Monitoring Q1 24-25." This lets you easily see which quarter and year this round of monitoring occurred.
    2. Select Templates > FEL Monitoring.
    3. Select the saved Student List View you created in the previous step.
    4. Select a due date.
    5. Choose how many forms you would like per student.
    6. Select the Contributors you would like to provide input on the Forms.
    7. Select Save.

💡 Quick Tip

You may want to create separate cycles for K-5 and 6-12 students. If so, save two separate Student List Views in the first step with filters for K-5 and 6-12. When selecting Contributors, you would likely choose Homeroom for K-5 and all core content teachers for 6-12.

Match and Manage Forms Contributors

Once you save the cycle, you'll be taken to the Cycle page to make any final changes before launching.

  1. Select the Match button > Yes, Match to connect staff members to the assigned Forms.
  2. To filter for Contributors that did not match, select the Contributor Names filter on the left and select is blank.
  3. If you have any Contributors that did not match, select the ⋮ (three dots) menu on the right side of an individual Form listing, select Manage Contributors, type in the name of the staff member, and select Save.
    1. You can do this in bulk by checking the box to the left of multiple Form listings, selecting the Actions button, and selecting Manage Contributors from there.

⚠️ Warning

If there's a gap of time between cycle creation and when you're ready to send your FEL Monitoring forms out, select the Add Students to Cycle button and then select Match again before launching.

Launch Your FEL Monitoring Forms and Let Educators Know

Once your forms are matched and ready, you can make the forms live and send emails to educators.

  1. Select the Draft button at the top of the screen and click Live > Set Live.
    1. This lets your staff members see their assigned (matched) forms in Ellevation.
    2. If you accidentally set your forms to Live, you can set them back to Draft to prevent educators from seeing the forms until you're ready.
  2. Email notifications and reminders need to be sent manually and can be sent as often as you like. To send reminders, select the checkbox next to Students, then click the blue text that reads Select all students that meet this search across pages to select all forms.
    1. Staff assigned to more than one form will only receive one email per notification.
  3. Select the Actions button > Notify/Remind > Send Email. This sends an email to all staff members who have a form assigned.

To monitor form completion, select the clickable status buckets, such as In Progress to see which forms are being worked on, or Submitted to see which forms have been completed.
