California Reclassification with Ellevation Forms Toolkit

Reclassification is a California-specific process districts use to determine an English learner's (EL's) readiness to exit English Learner programs. This toolkit walks you through conducting Reclassification in Ellevation Forms so your records and decisions stay organized in one place.

The Reclassification process varies from district to district in California. Check with your Ellevation Administrator or your Ellevation campus representative before you begin.

How Ellevation Forms Supports Reclassification

Ellevation Forms helps you complete Reclassification by:

  • Streamlining the full reclassification workflow in one place.
  • Analyzing data to identify students eligible for reclassification in the Student List.
  • Sending email notifications to Administrators, Specialists, or anyone with an Ellevation account who needs to sign off on reclassification.
  • Documenting family consultation for reclassification.

Conduct Reclassification in Ellevation Forms in these four steps:

  1. Identify eligible students
  2. Gather input
  3. Document decisions
  4. Update the SIS

Step 1: Identify Eligible Students

Identify students eligible for Reclassification through your district's Reclassification View(s) in the Student List. This step ensures every eligible student is captured so you can collect educator input.

The Reclassification View or saved Student List View is used to generate both the educator input form and the Reclassification Review form.

Navigate to the Student List

  1. Click Students > Student List.

  1. Click Views > the name of the saved View.
  2. If you make any changes to the existing View, click Save Changes.

If a Saved Reclassification View Does Not Exist

  1. Use Filters to build a Reclassification View in the Student List based on your district's reclassification criteria.
  2. Click Save As and name the new View.

Step 2: Gather Input

Many districts collect teacher input on reclassification decisions through digital forms in Ellevation, commonly called Teacher Input Forms. To gather educator input, start by reviewing the Teacher Input Form setup.

Reviewing the Teacher Input Form setup ensures you are using the correct Form Template to gather input and assigning the correct teachers to complete the forms.

Course Tagging

  1. Go to the Admin menu > Forms Settings > Course Tagging.
  2. Scroll or use the search bar to locate courses.
  3. Tag courses individually or in batch.

Preview and Choose a Form Template

  1. Go to the Admin menu > Forms Settings > Templates.
  2. Scroll or use the search bar to locate form templates.
  3. Click the name of the form template to review it.

Ellevation highly recommends using the pre-built California Reclassification and Teacher Input Form Templates as is. The pre-built OPTEL Form Template cannot keep the "CDE-reviewed" name if you edit it. The only change a district can make is replacing [Sample] with the district name in the Form Template title. For help editing a Form Template title, see the Configure Form Templates article, or contact the Help Desk at support@ellevationeducation.com.

Create and Launch a Teacher Input Cycle

Cycles structure forms into step-by-step, time-bound workflows. For example, you can collect Reclassification input by time period, such as Fall or Spring, or by grade level, such as K-5 or 6-12.

Cycles help you organize, sort, and filter the data collected from forms by their associated Cycle, making the information simpler to manage and analyze. As soon as a Cycle is created, its forms are generated in Draft mode. To create a Cycle, see Create Form Cycles.

After forms generate in Draft mode, review the student and contributor or teacher assignments for accuracy and make any adjustments needed. When all assignments are ready, set the Cycle to Live so teachers and contributors can complete the forms.

  3. Fill out the information to set up your Cycle.

Match Contributors or Teachers to Forms

  1. Click Match to match a form to contributors or educators.
  2. Note that only educators who appear directly on student schedules will appear with the Match option.

Change the Status from Draft to Live

  1. Click the name of the Cycle, or click the โ‹ฎ icon and click View Cycle.
  2. Review the form matches.
  3. Click the Draft button > Live. Live forms can be completed by contributors and educators.

Send Reminders to Teachers and Contributors

  1. Click the Not Started, In Progress, or Done buckets to send email reminders. Reminders can only be sent for resubmitted forms.
  2. To send reminders for multiple students at once, select all students with the checkbox next to Student, or select specific students with their individual checkboxes.
  3. Click Actions > Remind. Educators assigned to the form(s) will receive an email reminder to complete them.

Step 3: Document Decisions

Once you have received teacher input, you are ready to make Reclassification decisions. In Ellevation, you document these decisions using the pre-built Reclassification Form Templates.

Ellevation Forms connects the input form completed by educators in Step 2 to the Reclassification Review forms, making it easy to review educator recommendations. To document Reclassification decisions, start by reviewing the Reclassification form setup.

Reviewing the Reclassification form setup ensures you are using the correct Form Template. Make sure any sections on the Teacher Input form that ask educators for input or recommendations also appear on the Reclassification Form Templates you review.

  • The "Teacher Reclassification Recommendation" section on the Teacher Input for Reclassification Form Template has a keyboard icon, indicating contributors will add information.

Manually Add Contributors Not Attached to Schedule Files

To add a contributor to a single form:

  1. Click the โ‹ฎ icon to the right of a student's form > Manage Contributors > Adjust Role(s).
  2. Type in the contributor's name, then click Save.

To add a contributor to multiple forms at once:

  1. Select students with their individual checkboxes, or click the checkbox next to Student to select all.
  2. Click Actions > Manage Contributors > Adjust Role(s).
  3. Type in the contributor's name, then click Save.

Change the Status from Draft to Live

  1. Click the name of the Cycle, or click the โ‹ฎ icon and click View Cycle.
  2. Review the form matches.
  3. Click the Draft button > Live. Live forms can be completed by contributors.

Step 4: Update EL Status in the SIS

Once you have documented Reclassification decisions in forms, you may need to update student statuses in your SIS. Each district handles updating EL status differently, so connect with your district administrator or SIS coordinator about your district-specific process.

Use Filters to create an Update SIS saved Student List View:

  1. Filter by EL Status > is any of > EL, then click Done and click AND.
  2. Filter by District Reclassification Decision > is any of > Yes, the student will be reclassified and exited from the EL program.
  3. Click Save As and name the new Student List View.
