Import Course Grades into Ellevation

Some districts in states such as California, Texas, Florida, and Arkansas regularly import student course grades when this measure is required for reclassification decisions. Districts in those states can upload end-of-year, semester, or quarterly grade data into Ellevation. Unlike some data types in Ellevation, course grades cannot be automated. Your district must upload course grade files to Box or to your SFTP folder at the end of each grading period (year, semester, or quarter) and notify the Ellevation Help Desk each time to have the file imported. Course grades will not be updated in Ellevation unless you complete both steps.

Import Course Grades for the First Time

Follow these steps if you are importing course grades for the first time or importing a new type of course grades.

  1. Review the File Specifications for the type of course grades you want to import:
  2. Confirm that you can export the data from your SIS in a format that meets the File Specifications. You may export using a built-in Export Utility or by querying your database directly using SQL.
  3. Contact the Ellevation Help Desk so that the Data Integration Team can work with you to import the new data type into Ellevation.
  4. Once your initial import is complete, follow the steps in the Import Your Most Recent Course Grades section below to upload updated grades at the end of each grading period.

Import Your Most Recent Course Grades

If you have imported course grades previously and want to upload the most recent grades for your students, follow these steps.

  1. Confirm that your file meets the File Specifications and matches the course grade file format that Ellevation has imported for you in the past:
  2. Upload the file via Box or to your SFTP folder.
  3. Contact the Ellevation Help Desk to notify the Data Integration Team that your file is ready to import.

If you change your course grades file format or need to import a different type of course grades, return to the Import Course Grades for the First Time section above and work with the Data Integration Team to set up the new format.
