Moving to a new Student Information System (SIS) involves several steps to transition your data imports in Ellevation. This article explains the process and general timeline so you and your Ellevation Data Team know what to expect.

ℹ️ Note

During the transition, we pause imports while we build new scripts for the updated files. Once the new configuration is complete, we resume imports. Your existing data remains intact, and no information is lost.

What the SIS Transition Looks Like for District Administrators

Here's what the process typically looks like for district administrators:

  1. Notify Ellevation as soon as you know you are moving to a new SIS. Reach out to your Partner Success Manager to let them know.
  2. You will receive an email from your Ellevation Data Acquisition Specialist (DAS) confirming the start of your district's SIS transition. The email outlines the process, provides resources to help you learn more, and prompts you to review and follow your district's SIS-specific data documentation and how to send your new data to Ellevation for evaluation.
  3. Send your new data files to Ellevation and let us know. Once your new SIS data files are sent via SFTP, you'll get another email from your DAS confirming the files have been received. This follow-up email includes any helpful resources to move the transition process forward. While many transitions are completed within a few weeks, the exact timing may vary based on your response time to requests for data clarifications.
  4. While Ellevation goes through our steps from extraction through validation, your DAS will be in touch with any urgent questions or concerns. See the steps below in more detail in What the SIS transition looks like for Ellevation.
  5. Transition complete. Once your new SIS data is fully mapped, tested, and validated, your DAS will send a final confirmation email that the transition is complete.

To ensure accuracy, data integrity, and functionality, here are the steps we take once we receive your new SIS data files via SFTP.

  • Data extraction and review: First, we ensure that all relevant data is extracted from the new SIS in the correct format. Data often requires validation or cleanup to avoid issues during the migration.
  • Mapping and transformation: We compare the new data files to the current data in Ellevation to make sure information is consistent after the change. This may involve transforming data formats or creating custom scripts before configuring the new imports.
  • Testing: Before fully transitioning, we run test imports to confirm the new data works as expected. This step helps catch any inconsistencies or issues that could cause problems down the line.
  • Migration and validation: Once everything checks out, we proceed with the final transition. Afterward, we validate the data to ensure no issues occurred during the process and that Ellevation is functioning as intended.

Each of these steps requires coordination, technical expertise, and attention to detail, which is why the process takes some time. We want to ensure everything is completed accurately to avoid potential problems or downtime later on.
