Add, Activate, Deactivate, and Delete Students in Ellevation

Ellevation contains data and information about students with EL history in your district. This article walks you through manually adding, activating, deactivating, and deleting student records when you need to manage them directly in Ellevation.

Most districts have students automatically added and deactivated in Ellevation based on student statuses in their SIS. In some cases, though, you may need to manage students manually in Ellevation.

ℹ️ Note

Always check with your Ellevation Administrator to confirm whether you should make changes in Ellevation or in your SIS before manually managing student records.

Add a Student to Ellevation

Most districts have students automatically added to Ellevation based on student statuses in their SIS. If your district manually adds students and you have the appropriate permissions, you can add students to Ellevation.

Before adding a student manually, confirm the student is not already in Ellevation. To find students, see Find Student in Ellevation.

ℹ️ Note

Check with your Ellevation Administrator to confirm whether you should add students manually in Ellevation or make changes in your SIS so they appear automatically.

To add a student to Ellevation:

  1. Navigate to the Student List.
    1. Click Students on the navigation bar.
    2. Select Student List.
  2. Click + Add Student at the top right of the list of students.
    • You will not see this option if you do not have the appropriate permissions. If you need to add students and don't see this option, reach out to your Ellevation Administrator.
  3. Complete the required fields.
    • If students you add manually will be updated via nightly automation from your SIS, make sure the ID numbers you enter in Ellevation are correct. Student data is updated only when student ID numbers in Ellevation and your SIS match.
  4. Click Add Student at the bottom of the form.
  5. You will be brought to the student's Profile, where you can add additional student data and information. To learn more, see Learn about Student Demographic Information.

As part of the Initial LPAC process, some Ellevation users in Texas manually add students to Ellevation. In addition to the required fields in the Add Student form, Texas users should add the following fields to the newly created Student Profiles before conducting an Initial LPAC:

  • Under Key Attributes, add a Native Language. Entering this field allows the generation of Parent Letters in the appropriate language.
  • Under Key Dates, add a District Enrollment Date. Entering this date allows you to track which students you need to LPAC.

Activate an Inactive Student Record

Most districts have students automatically activated and deactivated in Ellevation based on student statuses in their SIS.

ℹ️ Note

Always check with your Ellevation Administrator to confirm whether you should activate inactive students manually in Ellevation or make changes in your SIS to activate them.

To activate an inactive student record:

  1. Open the student's Profile.
    • You can search for students by name or ID number using the search bar at the top right of your screen. Click the student's name to open their Profile in the current tab, or click the Open icon to the right to open it in a new tab.
    • You can also locate students in the Student List. To find an inactive student, click Filters at the top of the Student List, click the Lock icon to the right of the Active is equal to Yes filter record, select No, then hover over the student's name and click the Student button to open their Profile in a new tab.
  2. Activate the student.
    1. Click Activate Student at the bottom right of the page.
    2. Click Activate in the confirmation popup.

Deactivate an Active Student Record

Most districts have students automatically activated and deactivated in Ellevation based on student statuses in their SIS.

Always check with your Ellevation Administrator to confirm whether you should deactivate students manually in Ellevation or make changes in your SIS.

To deactivate an active student record:

  1. Open the student's Profile.
    • You can search for students by name or ID number using the search bar at the top right of your screen. Click the student's name to open their Profile in the current tab, or click the Open icon to the right to open it in a new tab.
    • You can also locate students in the Student List. To narrow your list and quickly find a student, apply Filters at left, then hover over the student's name and click the Student button to open their Profile in a new tab.
  2. Deactivate the student.
    1. Click Deactivate Student at the bottom right of the page.
    2. Click Deactivate in the confirmation popup.

Delete a Student Record

You can delete a student record if you identify a duplicate or if you create a record for a student who should not be in Ellevation.

⚠️ Warning

Deleting a student record cannot be undone. All data and information on the student's Profile will be lost if you delete the record. In most cases, you should deactivate a student record rather than delete it when a student is no longer enrolled in your district.

Always check with your Ellevation Administrator to confirm whether you should delete students manually in Ellevation.

To delete a student record:

  1. Open the student's Profile.
    • You can search for students by name or ID number using the search bar at the top right of your screen. Click the student's name to open their Profile in the current tab, or click the Open icon to the right to open it in a new tab.
    • You can also locate students in the Student List. To narrow your list and quickly find a student, apply Filters at left, then hover over the student's name and click the Student button to open their Profile in a new tab.
  2. Delete the student.
    1. Click Delete Student at the bottom right of the page.
    2. Click Delete in the confirmation popup.
